About the role
This role is a key support member of the Administration Team. It will play an integral part in supporting the team to focus on their main tasks by managing administrative duties and ensuring smooth operations.
Key Responsibilities
- Perform general administrative tasks such as data entry, filing, scanning, printing, and document management.
- Manage shared administration inbox, correspondence, and records.
- Update email distribution lists and maintain databases.
- Coordinate meeting room bookings, catering, and provide meeting support (agendas, minutes, follow-ups).
- Order and manage office, kitchen, and PPE supplies, including stock control and uniform management.
- Assist with onboarding new staff by coordinating uniforms, PPE, and technology requirements.
- Support site visits and board visits, including PPE setup, catering, signage, and room preparation.
- Provide administrative assistance for events such as Apprentice Awards, Service Awards, and End-of-Year functions.
- Process purchase orders, receipting, reconciliation, and issue resolution in SAP.
- Offer backup support for travel and accommodation bookings.
Skills and Experience Required
- Previous experience in an administrative support role.
- Strong organisational and time management skills.
- High attention to detail and accuracy.
- Ability to multitask and prioritise workload effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Experience using SAP or similar systems (preferred but not essential).
- Ability to work both independently and as part of a team.
- Strong problem-solving skills and proactive approach to tasks.
