We are seeking an experienced Administrator to support our team with day-to-day business administrative services and support HDE’s Business Director with daily administrative tasks.

HDE is a family-owned engineering consultancy delivering engineered solutions to large industry operators in government, manufacturing, power and mining. From our roots in Emerald, we’ve grown to include offices in Rockhampton and Gladstone. 

We support our clients from project concept through to final commissioning, offering services including engineering design, certification, condition assessments, compliance auditing, and 3D laser scanning.

The Role 

This is a full-time, office-based role located at our Rockhampton office. 

As a key member of our Administration Team, you will provide administrative support to the broader team and the Business Director. You will play an integral role in coordinating office operations, preparing and issuing engineering deliverables, managing client enquiries and communications, and ensuring the office is well maintained. 

Key Responsibilities 

Administration 

  • Provide administrative support to the engineering design teams 

  • Coordinate team onboarding, inductions and recruitment activities 

  • Prepare and issue engineering deliverables to clients 

  • Assist in maintaining compliance, HSEQ documentation, registers and checklists 

  • Maintain office supplies and equipment, and monitor vehicle compliance 

  • Organise annual team events in consultation with the Business Director  

Personal Assistance  

  • Calendar scheduling and coordinate meetings 

  • Monitor, prioritise and organise emails 

  • Track and follow up action items 

  • Arrange travel and appointments 

  • Attend finance and business meetings to record and follow up on action items 

 About You 

You

  • Previous experience in administration or business support services 

  • Highly organised with strong attention to detail 

  • Ability to manage multiple priorities. 

  • Strong Microsoft Office skills 

  • Clear and professional communication skills 

  • Ability to maintain confidentiality and discretion 

Experience in an engineering or professional services environment will be highly regarded, as will experience with process automation, workflow systems or reporting tools (e.g. Power Automate, Power BI). 

 

Hours of Work (38 hr work week) 

Monday – Thursday: 8:00 AM – 5:00 PM 

Friday: 8:00 AM – 2:00 PM (early finish!) 
Office-based – Rockhampton (18 Albert Street)
