Job Description

Gladstone GP Superclinic is a leading medical practice dedicated to providing high-quality healthcare services to our community. We are looking for a dedicated and professional Office Manager to join our team and lead the reception staff to deliver exceptional service to our patients.

 

Key Responsibilities:

  • Manage Reception Team: Lead, supervise, and support the reception team to ensure smooth and efficient daily operations.
  • Customer Service: Provide excellent customer service, addressing patient inquiries, scheduling appointments, and handling patient concerns in a professional manner.
  • Appointment Scheduling: Oversee the scheduling of patient appointments, ensuring accuracy and efficiency in appointment management.
  • Patient Check-In: Ensure that all patients are greeted promptly and that necessary check-in processes (e.g., verifying insurance, collecting information) are completed.
  • Coordination with Medical Staff: Communicate effectively with doctors, nurses, and other healthcare providers to ensure seamless patient flow.
  • Administrative Tasks: Handle administrative duties such as managing phone lines, emails, patient records, and maintaining the front office area.
  • Problem-Solving: Address patient complaints and resolve conflicts or issues related to scheduling, billing, or other front office services.
  • Training & Development: Assist in the training and development of new reception staff, ensuring they are knowledgeable and efficient in their roles.

 

Qualifications:

  • Experience: Minimum of 3 years of experience in a medical reception or office management role.
  • Leadership Skills: Proven ability to manage and motivate a team, with excellent interpersonal and communication skills.
  • Organization: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Customer-Focused: Exceptional customer service skills, with a focus on providing positive patient experiences.
  • Technology Proficiency: Proficient with medical office software, appointment scheduling systems, and MS Office Suite. Experience with Best Practice system preferred.
  • Problem-Solving: Ability to address issues in a calm and efficient manner, ensuring high-quality service at all times.
