Real Estate Receptionist & Sales Administrator

Job Description

We are seeking a proactive, detail-oriented, and personable individual to join our real estate team as a hybrid Sales Administrator & Receptionist. This dual role is ideal for someone with strong organizational skills, excellent communication abilities, and a customer-centric mindset. You will serve as the first point of contact for clients while also managing sales support functions to ensure smooth operations.

Key Responsibilities

Reception Duties

  • Greet clients and visitors with professionalism and a welcoming demeanour.
  • Answer and direct phone calls, emails, and inquiries promptly and professionally.
  • Manage and maintain the office's front desk, ensuring a tidy and organised workspace.
  • Handle appointment scheduling for agents and manage meeting room bookings.

Sales Administration

  • Assist real estate agents with document preparation, including contracts, listings, and disclosures.
  • Maintain and update the customer relationship management (CRM) system with accurate client and property information.
  • Coordinate property listings on multiple platforms, including MLS and online real estate portals.
  • Track and manage sales pipelines, ensuring timely follow-up on leads and client inquiries.
  • Prepare reports and analytics on sales performance, leads, and marketing campaigns.

Office Management Support

  • Order and maintain office supplies and equipment.
  • Assist in planning and coordinating office events or training sessions.
  • Support marketing initiatives by coordinating open house materials, brochures, and other promotional items.

Qualifications

  • Experience:
    • Minimum of 1-2 years in a receptionist, administrative, or sales support role (real estate experience preferred).
    • Familiarity with real estate contracts, MLS systems, and CRM tools is a plus

 

Skills:

  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic tech-savviness.
  • Ability to work independently and collaboratively in a fast-paced environment.
