Position Summary
The Receptionist is responsible for providing administrative support to ensure efficient operation of the clinic and reports to the Head Office Practice Manager located in Townsville.
The objective of this position is to be the sole administrative presence in the Mackay clinic and conduct all administrative duties accurately and of a high quality in a timely manner with support from our Head Office team (Townsville) and Practice Managers. The position involves client engagement, data entry, document preparation, administration tasks and distributing information to stakeholders.
The position is being offered as part-time 5 days a week and school hours are supported.

Key Duties
Role Specific
- Reception - first point of contact for all clients and visitors
- Answer incoming calls - taking messages and re-directing calls as required
- Make outbound calls - return existing client calls, phone new enquiries, or other requests
- Contacting clients and stakeholders where required
- Assisting with completion of client documentation eg Referral Forms, Client Risk Assessments
- Creating client files and ensuring accurate data entry; and documentation uploads
- Monitoring allocated email inbox and processing appropriately
- Scanning and uploading information to relevant locations
- Providing support to the Practice Manager and attending to any tasks/requests they delegate
- Providing administration support to local therapists and ATS colleagues
- Performing administrative tasks for ATS
- Maintaining client records in accordance with company policy and procedures; and legislative requirements
- Providing high quality, open and transparent relationships with referrers to ATS, clients, client representative and other stakeholders in the community
- Maintain a sound knowledge of ATS services and supports
- Other reasonable duties as required or requested
Customer Service
- Use exceptional telephone etiquette to answer all incoming calls, within the agreed response timeframes, in a consistently friendly and professional manner leaving a lasting positive impression on the caller
- Ensure all calls are managed in an empathetic, friendly, interested and patient manner to quickly build rapport, trust, and confidence in ATS, ensure a positive and professional customer experience every time.
- Use a variety of interpersonal phone communication skills to deliver genuinely respectful caller engagement including active listening, gaining all customer details, information gathering, problem analysis and solving, persuasiveness, and negotiation
- Maintaining client service records in accordance with company policy, procedures, and legislative requirements
- Provide a high level of excellence and professionalism whilst being open, honest, and transparent with company referrers, clients, client representatives and other stakeholders in the community.
Essential Qualifications and Requirements
- Excellent written and verbal communication skills
- Strong organisation skills and problem-solving attitude
- Current Blue Card (Working with Children and Young People)
- Current Yellow Card (Disability Worker Screening)
Desirable Qualifications and Requirements
- Experience in NDIS industry
- Experience and/or qualifications in Reception/Administration
