The Opportunity: We are currently seeking a Service Administrator to be based at our Mackay branch. As a key team member, the Service Administrator will be responsible for providing administrative and clerical support to the Branch including payroll and service invoice processing, reception and phone enquiries, customer service support, general secretarial and clerical duties

Key Responsibilities:

  • Actioning Service Department requirements as directed by Supervisor / Service Manager daily
  • Ensure WIP jobs are opened and invoiced correctly. Job packet contents are correct and justify the charges and narrative on the invoice including warranty.
  • Regularly monitor WIP and ensure processes are in place and adhered too that allow for invoicing within five days of physical completion
  • Raise /Goods receipt purchase orders, follow up copies of tax invoices and file with relevant job, send copies to AP for payment processing
  • Transfer parts and timesheets and search parts information on AX system as required
  • Coordinate and prepare weekly payroll information ensuring all timesheets are entered in time for pay run.
  • Generate weekly/monthly reports as required for department Supervisors.
  • Collate and enter data in to various mainframe computer systems ensuring accurate information is entered and kept up to date
  • Monitor and schedule site inductions, vehicle maintenance and training records
  • Order employee PPE, office supplies & merchandise as directed by supervisor
  • Maintain and grow relationships with customers both internal and external ensuring a professional manner is maintained at all times.
  • Provide exceptional customer service using the Komatsu Customer Support Charter as the guiding principle for all business interactions

What we are looking for:

  • Be a self-starter and be able to work unsupervised.
  • Customer service experience.
  • Computer literate with strong capability with the Microsoft Office programs, with advanced Excle skills.
  • Be a team player and contractive to the success of the Branch
  • Must have highly effective written and oral communication skills with the ability to communicate with management, staff and customers.
  • Hold a current driver’s license.
  • Had previous experience in a similar position.
  • Experience with SAP payroll administration.
  • Previous experience with Dynamics 365 would be advantageous, but not a requirement.
