As we step into the new financial year, now is the perfect time to ensure your employee records are in order. It’s not just about ticking boxes. It’s about setting your business and your team up for a smooth and successful year ahead.
Here’s a quick EOFY compliance checklist to help ensure your employee records are current, accurate and meeting your obligations as an employer.
1. Review Employment Contracts
- Check that each employee has a signed, up-to-date contract.
- Ensure job titles, duties and classification levels (especially under relevant Awards) are current.
- If roles have changed over the past year, update the position descriptions accordingly.
2. Update Pay Rates
- Minimum wages, including Award rates, increased on 1 July. Check whether your staff require a pay adjustment. Refer to the Fair Work Ombudsman website for the latest pay guides.
3. Check Superannuation Obligations
- From 1 July 2025, the Super Guarantee increases to 12%. Make sure your payroll system reflects this change.
- Review each employee’s super fund details and contribution history to ensure compliance.
4. Audit Your Records
Ensure accurate records are kept for the following:
- Payslips and wage payments
- Leave balances
- Timesheets or rosters
- Super payments
- Tax file number declarations
Keep in mind that under Fair Work requirements, most employee records must be retained for seven years.
5. Revisit Leave Entitlements
- Check that annual, personal and long service leave balances are correct.
- Encourage employees to take breaks where needed to support wellbeing and productivity.
6. Confirm Contact and Emergency Details
- Ask your team to confirm their current contact and emergency information. This is a simple but important step that is often overlooked.
Conclusion
Staying on top of your obligations helps build trust, avoid penalties and create a stronger, more efficient workplace.
